Initiating Ad-Hoc Messages: Instructor

The Mass Communication System allows faculty to communicate with students in multiple class sessions by sending emails and texts.

  1. Login to the Mass Communication Manager through the Quick Links in MyTCC or directly at https://webapps.tulsacc.edu/ords/cm/r/mcm 
  2. Click the Send Ad-Hoc link on the left side of the page
  3. Click on the Instructor channel to send email or SMS messages to students within your assigned classes.

Recipient Selection

  1. Select the semester and the courses you want to message. Close up of the recipient section in the Mass communication manager

  2. Select all or the specific students you wish to send an email or text (SMS) to, and then click the "Select" button.

Communication Method

  1. Select the method of communication desired by using the toggle switch for each option.  You can select one or both ways.

Construct your Message

Text Message (SMS)

  1. Enter the content for the message.

  2. Select Preview to see how the text message will look.
  3. Click Next to send

NOTES

Note 1: SMS texts are one-way communications. If you need a response to your message, provide your email or phone number as part of the text.

Note 2: Text Messages include pre-text, which identifies the sender, added to every text message per federal law. 

Note 3: Text messages longer than 160 characters (including spaces) may be split into multiple messages.

Email

  1. Select the template for the communication being sent. Current options include:
    1. HTML TCC Template REV1 (the email begins with Hello,
    2. HTML TCC Template with FNAME REV1 the email begins with (Hello, student first name)
  2. Add a Subject - Required field – Appears as the subject in the recipient's inbox
  3. Header - Required field - Appears at the top of the email
  4. Body - Required field - The message of your email
  5. Select Preview to see how the text message will look, and then close the Preview screen.
  6. Click Next

Review

Red indicates that the user has opted out or has missing information, and the communication will not be sent via the selected communication method.

  1. Click Send Communication (It can take a minute to advance to the next screen)

Send Results

  1. Click Finished. (Do not wait for the process on the screen to finish)

Review Your Communications

You can review your communications by clicking on the Reports link on the left side of the Mass Communication Manager. Your communication log is essential as the emails are not in your Outlook account.


Adding a link to Mass Communication Tool in Blackboard

If you want quick access to the Mass Communication Manager on your Blackboard site, you can add a link to the tool on your course menu. You would not make the link visible to students.
